Repair status updates and digital approval texts for auto shops

What it does

Customers get text updates at each stage (checked in, inspected, waiting on approval, parts ordered, ready). The digital inspection with photos goes out by text, and AI writes the explanation in plain English so the service advisor spends less time on the phone.

Tools used

  • Tekmetric, Shopmonkey or Shop-Ware (shop management + digital inspections)
  • Twilio or built-in texting
  • OpenAI API or Claude (plain-English explanations)
  • Zapier

Expected outcome · Typical goal

Typical goal: fewer 'is my car ready?' calls, and faster approvals because customers can see the photos and understand why the work matters.

Setup notes

  1. Most modern shop management systems already have texting and digital inspections. Use what's there, and add AI only for the explanations.
  2. The advisor approves every recommendation before it goes out. AI only rewrites the tech's notes in plain English.
  3. Sort recommendations as 'safety now', 'soon' or 'monitor' so customers trust the shop and don't feel upsold.

Prompt / agent config

Replace the {placeholders} with your own details.

Rewrite these technician notes for a customer with no car knowledge. For each item: what we found (one sentence), why it matters (one sentence), and priority: 'Safety, recommend today', 'Recommended soon', or 'Monitor'. Keep the tech's findings exactly as stated. Don't add problems, don't exaggerate, no scare words. Vehicle: {year make model}, {mileage} miles. Notes: {{tech_notes}}
