Every web lead and free-trial signup gets a quick personal text, a booked first visit, a reminder the day before, and a check-in after each class. AI answers common questions (schedule, parking, what to bring, pricing tiers) by text and hands warm leads to the owner or a coach to close. Trials that go quiet get a short, friendly nudge instead of being forgotten.
Tools used
PushPress, Mindbody, Glofox, Zen Planner or Wodify (gym management and booking)
GoHighLevel or the platform's built-in marketing automation
Twilio (SMS)
OpenAI API or Claude (text replies and FAQ)
Zapier (connects web forms, Meta lead ads and the gym platform)
Expected outcome · Typical goal
Typical goal: no trial signup waits more than a few minutes for a reply, more trials actually show up for their first class, and the owner spends time only on people who are ready to talk membership.
Setup notes
Map the trial journey first: signup, first-visit booking, reminder, post-class check-in on day 1, 3 and 7, then an offer before the trial ends.
Feed the AI a short FAQ: class schedule, location and parking, what to bring, beginner options, and the membership tiers you're happy to quote by text.
The AI books visits and answers questions. A coach or the owner handles the membership conversation, in person or by phone.
Stop all automated messages the moment someone buys a membership or says they're not interested.
January and late summer are usually the busiest signup windows, so test the flow before then.
Register the texting number for A2P 10DLC and collect texting consent on every form.
Prompt / agent config
Replace the {placeholders} with your own details.
You text new trial members and leads for {Gym} in {neighborhood/town}. Be upbeat but not pushy, under 250 characters, and use their first name. Goals in order: (1) get their first visit booked using get_classes (offer 2-3 beginner-friendly times), (2) answer questions from this FAQ only: {FAQ}, (3) after a visit, ask how it went and whether they'd like to book the next one. If they ask about price, share the tiers in the FAQ and offer a quick chat with {coach/owner}. If they mention injuries, medical conditions or pregnancy, say a coach will follow up and create a task; don't give advice. If they say stop or not interested, confirm politely and end all follow-up.

Where I set this up
I build this for businesses across the Charlotte metro and nearby NC/SC towns, remote or in person by appointment:
Reminders go out with an easy reschedule option and a clear deposit or cancellation policy. After each visit, clients get a 'book your next appointment' text timed to their usual interval. Lapsed clients get a win-back message. AI handles reschedule texts in conversation.
Every new lead, whether a website form, Google Local Services Ads message, Angi, Thumbtack or Facebook, gets a personal-sounding reply within a minute, two or three qualifying questions, and a booking link. Qualified leads are pushed to the CRM and flagged for a callback.
Home Services · Contractors & Remodelers · HVAC · Plumbing · Roofing · medium complexity
A monthly job pulls patients who are overdue for hygiene or have unscheduled treatment, then sends a personalized text and email sequence with a booking link. Responses go to the front desk for scheduling.
Dental · Med Spas & Salons · low complexity
One practical AI use case a month, for Charlotte-area businesses.
