After a consultation, cases often stall while the firm waits on a signed engagement letter, a retainer, and the documents it needs, like police reports, medical bills, leases, or court papers. An AI assistant sends the right checklist for the matter type, gives clients friendly reminders on a set schedule, answers 'what do you still need from me?' from the matter file, and flags anything stuck for a paralegal. It never gives legal advice or discusses the merits of the case.
Tools used
Clio Grow and Clio Manage, Lawmatics, MyCase or Smokeball (intake, matters and client portal)
DocuSign or the practice software's built-in e-signature (engagement letters)
LawPay or the practice software's payment links (retainers)
OpenAI API or Claude (checklists, reminders and status replies)
Twilio or the practice software's texting, plus email
Expected outcome · Typical goal
Typical goal: signed engagement letters and complete document sets sooner after the consultation, fewer paralegal hours spent chasing clients, and fewer potential clients who quietly drift to another firm.
Setup notes
Build one checklist per matter type you handle, for example a car wreck, a family law case, a landlord-tenant dispute, or an estate plan. The checklist is the heart of this setup.
Keep the AI to logistics: what's received, what's missing, how to upload, and when someone from the firm will be in touch. Anything about the case itself, deadlines, or what a client should do goes to an attorney or paralegal.
Send documents through the practice software's secure portal or upload link, not plain text or email attachments, and don't let the AI repeat sensitive details like account numbers back in messages.
Set a firm reminder rhythm (for example day 1, 3, 7 and 14) and stop automatically once the item arrives or a staff member takes over.
If a potential client hasn't signed the engagement letter, make clear in every message that the firm doesn't represent them yet. Have an attorney approve all message templates against the North Carolina or South Carolina State Bar rules that apply to you.
Statute of limitations or court dates should always be tracked by people in your calendaring system. The AI can remind clients about firm-set deadlines but should never calculate one.
Prompt / agent config
Replace the {placeholders} with your own details.
You help clients of {Firm}, a law firm in {city}, finish their onboarding. You handle logistics only and never give legal advice, discuss the merits of a case, or predict outcomes. For each client you have the matter type, the checklist for that type, and which items are received. Send a short, warm message listing what's still needed and the secure upload link {portal link}; if the engagement letter or retainer is outstanding, include those links and say clearly that the firm does not represent them until the letter is signed. Follow up on {reminder schedule} and stop as soon as items arrive or a staff member takes over. If a client asks a legal question, mentions a court date, a deadline, a new incident, or seems upset, say {paralegal or attorney} will call them and create an urgent task. Never repeat sensitive numbers back in messages. Log every message on the matter.

Where I set this up
I build this for businesses across the Charlotte metro and nearby NC/SC towns, remote or in person by appointment:
Calls and web chats outside office hours are answered by an AI or AI-plus-human intake service. It collects the matter type, key dates, opposing party names (for conflict checks) and contact details, books a consultation if the matter fits the firm's practice areas, and politely refers out if it doesn't. No legal advice.

Lead Follow-UpAppointment Booking & RemindersIntake & Triage
After a hail or wind storm, roofing calls and web forms pile up faster than the office can answer. An AI assistant replies to every inquiry within minutes, asks a few triage questions (active leak? tarp needed? storm date? insurance claim started?), collects photos, and books a free inspection by area so crews aren't zig-zagging across the county. Active leaks get flagged to a person right away.
Roofing · Contractors & Remodelers · medium complexity
Pest control and lawn care plans usually include free re-services between visits, and those callbacks flood the office every spring and summer. An AI assistant handles the call, text or portal message, checks the customer's plan and last treatment date, asks what they're seeing (ants, roaches, mosquitoes, brown patch, weeds), collects photos, and books the re-service on a day the tech is already on that route. Anything that sounds like termites, wildlife or bed bugs goes to a person.
