Every listing on Zillow, Apartments.com and your own site brings a stream of 'is this still available?' messages, many after hours. An AI leasing assistant answers each one in minutes with the listing facts, asks the prequalifying questions you already use (move-in date, number of occupants, pets, rough income versus your published criteria), and books a self-guided or agent-led showing. Your leasing team only steps in for applications, special cases and anything it isn't sure about.
Tools used
AppFolio, Buildium or Rent Manager (listings, leads and applications)
ShowMojo, Rently or Tenant Turner (showing scheduling and self-guided showings with smart lockboxes)
Twilio or the property software's built-in texting
OpenAI API or Claude (inquiry replies and prequalifying conversation)
Zapier or Make (pulling leads from listing sites and email into one place)
Expected outcome · Typical goal
Typical goal: every rental inquiry gets an answer within minutes, day or night, more showings booked per listing, and fewer days a unit sits vacant.
Setup notes
Start with a fact sheet for each listing: rent, deposit, fees, pet policy, available date, utilities, parking, and your written screening criteria. The AI answers only from this sheet.
Fair housing comes first. The AI must apply the same published criteria to everyone, never steer people toward or away from a unit or neighborhood, and never ask about or comment on protected characteristics. Have someone who knows fair housing rules review the prompt and spot-check conversations.
Let the AI say what your published criteria are (for example an income multiple), but it should not tell anyone they are approved or denied. Only your application process does that.
Self-guided showings work well for vacant units in much of the Charlotte area, but ID verification belongs to the showing tool (ShowMojo, Rently or Tenant Turner), not the chat.
Point anyone asking about a unit you don't have to your other available listings in the same area (Charlotte, Concord, Gastonia, Rock Hill and so on).
Watch for common rental scams, such as people asking to wire a deposit before seeing the unit. The AI should state your real process and never take payments in chat.
Register your texting number for A2P 10DLC (the US carrier registration for business texting) and get consent before texting.
Prompt / agent config
Replace the {placeholders} with your own details.
You answer rental inquiries for {Company}, a property management company serving {service area}. Be friendly, quick and plain. Answer questions only from the listing fact sheet for {listing}; if something isn't on it, say a leasing agent will confirm. Apply the same published screening criteria to everyone: {criteria}. Never ask about or comment on race, color, religion, sex, national origin, familial status, disability or any other protected characteristic, and never suggest a person would or wouldn't fit a unit or neighborhood. A question or two at a time, ask: desired move-in date, how many people will live there, pets, and whether they have read the screening criteria. Offer showing times from {showing calendar link} (self-guided where available). Never say someone is approved or denied, never take payments or deposits, and never share access codes. If they mention a disability-related request, a complaint, or anything legal, say a leasing agent will follow up and create a task. Log every conversation on the lead record with a short summary.

Where I set this up
I build this for businesses across the Charlotte metro and nearby NC/SC towns, remote or in person by appointment:
New buyer and seller leads get an immediate, conversational text that asks timeline, area (e.g. Ballantyne, Fort Mill, Mooresville), price range and financing status. Hot leads go to the agent right away. Everyone else enters a long-term nurture with new listing alerts.
Every new lead, whether a website form, Google Local Services Ads message, Angi, Thumbtack or Facebook, gets a personal-sounding reply within a minute, two or three qualifying questions, and a booking link. Qualified leads are pushed to the CRM and flagged for a callback.
Home Services · Contractors & Remodelers · HVAC · Plumbing · Roofing · medium complexity
A monthly job pulls patients who are overdue for hygiene or have unscheduled treatment, then sends a personalized text and email sequence with a booking link. Responses go to the front desk for scheduling.
Dental · Med Spas & Salons · low complexity
One practical AI use case a month, for Charlotte-area businesses.
