Most people shopping for a house cleaner ask three companies for a price and book whoever answers first. An AI assistant replies to every web form, Facebook message and missed call within minutes, asks the questions your pricing actually depends on (square footage, bedrooms and bathrooms, pets, deep clean or recurring, move-out), gives a price range from your own rate sheet, and books the first clean or a walkthrough. After the first visit it offers the recurring schedule.
Tools used
ZenMaid, Launch27 or BookingKoala (cleaning scheduling and online booking)
Jobber or Housecall Pro (if you run cleaning alongside other services)
Twilio or the scheduler's built-in texting
OpenAI API or Claude (quote conversation)
Zapier or Make (web form, Facebook lead and missed-call intake)
Google Sheets or the booking tool's pricing table (your rate sheet)
Expected outcome · Typical goal
Typical goal: every cleaning inquiry gets a price range and a bookable time within minutes, including evenings and weekends, so fewer shoppers book the competitor who answered first, and more first cleans turn into recurring service.
Setup notes
Write your pricing down as rules before you automate it: base price by bedrooms and bathrooms or square footage, add-ons (inside oven, inside fridge, windows, baseboards), pet surcharge, and the deep-clean or move-out multiplier. The AI should only quote from that table.
Always give a range and say the final price is confirmed after the first visit or a quick walkthrough. Homes vary too much to promise an exact number by text.
Ask for a couple of photos of the kitchen and main bathroom on deep cleans and move-outs. It catches the jobs that need a walkthrough.
Only offer first-clean slots that fit your teams' real routes. Grouping new homes by area (for example SouthPark and Myers Park, Ballantyne, Fort Mill and Tega Cay) keeps drive time down.
Hand off to a person for commercial or office cleaning, post-construction cleanup, hoarding situations, or anyone asking about insurance and bonding details you haven't written down.
Register your texting number for A2P 10DLC (the US carrier registration for business texting) and capture consent on the form so messages aren't filtered.
Two days after the first clean, send a short check-in that asks how it went and offers weekly, every-other-week or monthly service at the recurring rate.
Prompt / agent config
Replace the {placeholders} with your own details.
You answer house cleaning inquiries for {Company}, serving {service area}. Keep each text short, friendly and plain. Collect, a question or two at a time: address or ZIP (confirm we serve it), type of clean (standard, deep, move-in/move-out, recurring), bedrooms, bathrooms, rough square footage, pets, and any add-ons from this list: {add-ons}. Then calculate a price range using only this rate table: {rate table}. Say the final price is confirmed after the first visit. If it's a deep clean or move-out, ask for two or three photos. Offer 2-3 first-clean times from get_slots for their ZIP. If they ask about commercial cleaning, post-construction, insurance or bonding, or anything not covered here, say {Owner name} will follow up today and create a task. Never invent prices, discounts or availability. Log every answer to the lead record.

Where I set this up
I build this for businesses across the Charlotte metro and nearby NC/SC towns, remote or in person by appointment:
For standard, priced services (recurring cleaning, lawn care, pest control, gutter cleaning, pressure washing), a website chat assistant asks the questions needed to price the job (home size, frequency, add-ons), gives a price range from the company's actual rate card, and books into the schedule.
Home Services · Cleaning Services · Lawn Care & Pest Control · medium complexity
Every new lead, whether a website form, Google Local Services Ads message, Angi, Thumbtack or Facebook, gets a personal-sounding reply within a minute, two or three qualifying questions, and a booking link. Qualified leads are pushed to the CRM and flagged for a callback.
Home Services · Contractors & Remodelers · HVAC · Plumbing · Roofing · medium complexity
After an estimate goes out, an automated, personal-sounding follow-up runs over two to three weeks: a check-in, an answer to common objections, a gentle deadline, and a 'should I close this out?' message. Replies stop the sequence and alert the estimator.
