Personalized year-end and GivingTuesday appeals

What it does

AI helps turn one core year-end story into segmented versions (first-time donors, monthly donors, lapsed, mid-level, volunteers) for email, letter and social, plus a GivingTuesday schedule. Every version pulls from facts staff supply, and merge fields handle personalization in the email tool.

Tools used

  • Mailchimp or Constant Contact
  • Givebutter, Zeffy or Classy (campaign page + matching-gift thermometer)
  • Bloomerang, Little Green Light or DonorPerfect (segments)
  • ChatGPT or Claude
  • Canva (graphics)

Expected outcome · Typical goal

Typical goal: the year-end appeal goes out on time in 4-6 segment versions instead of one generic letter, and the GivingTuesday sequence is planned weeks in advance, not the night before.

Setup notes

  1. GivingTuesday is the Tuesday after Thanksgiving (December 1, 2026). Lock the plan by early November: a pre-launch email, GivingTuesday morning/afternoon/final-hours emails, and a thank-you the next day.
  2. Charlotte-area nonprofits can line up a local matching gift from a board member or business sponsor; only promote a match once it's committed in writing.
  3. Write one master story from real program facts, then have AI adapt tone and ask amount per segment. Don't let it create beneficiary quotes or numbers.
  4. Suppress current recurring donors from 'make a gift' asks, or give them a separate 'thank you + optional extra gift' version.
  5. Charitable solicitation: North Carolina generally requires a license from the NC Secretary of State Charities Division before soliciting (with an exemption for organizations under $50,000 in annual contributions that pay no officers or fundraisers, which still requires an exemption letter). South Carolina requires annual registration with the SC Secretary of State unless exempt. Confirm status before an AI-assisted appeal goes to donors in either state.
  6. Email rules: CAN-SPAM technically covers commercial messages, but follow its basics anyway (accurate From line, physical address, working unsubscribe) and keep marketing opt-outs synced between your CRM and email tool.
  7. IRS rule: for any single gift of $250 or more, the donor needs a written acknowledgment showing the amount (or a description of non-cash property) and whether any goods or services were provided in return, with a good-faith estimate of their value. For quid pro quo gifts over $75 (e.g., a gala ticket), the receipt must state the deductible portion. Build these lines into the template; never let the AI write them freehand.

Prompt / agent config

Replace the {placeholders} with your own details.

You are adapting {Org}'s year-end appeal. Master story and facts (use only these): {story_facts}. Goal: {campaign_goal} by {date}. Match: {match_details_or_none}. Write versions for these segments: {segments with typical gift}. For each: subject line (under 45 chars), preview text, 150-200 word email with one clear ask amount suited to the segment and the link {link}, and a P.S. Keep it warm and concrete, no guilt or crisis framing unless the facts support it, no invented numbers, quotes or deadlines. Then outline a 4-email GivingTuesday sequence with send times.

Fundraising & Donor StewardshipLead Follow-Up

Lapsed-donor re-engagement for LYBUNT and SYBUNT donors

Each month the workflow pulls donors who gave last year (or some year) but not this year, segments them by last gift and interest, and drafts a short personal note for each segment, with a direct ask to renew. Staff approve the drafts, then they send from the CRM or email tool with a follow-up if there's no response.

Fundraising & Donor StewardshipLead Follow-Up

Monthly-donor conversion and upgrade asks

The workflow spots one-time donors who give repeatedly and invites them to go monthly, and asks steady monthly donors to make a modest increase around their giving anniversary. It also catches failed card payments and sends a polite update-your-card note before the gift lapses.

Fundraising & Donor StewardshipCustomer Updates

Donor thank-yous and IRS-ready acknowledgments within 24 hours

Every online or offline gift triggers a personalized thank-you email within a day, with the required receipt language built in. Gifts above a threshold you set also create a task for a board member or the ED to call or handwrite a note. AI drafts the personal line; the receipt wording comes from a fixed template.
