Every online or offline gift triggers a personalized thank-you email within a day, with the required receipt language built in. Gifts above a threshold you set also create a task for a board member or the ED to call or handwrite a note. AI drafts the personal line; the receipt wording comes from a fixed template.
Tools used
Bloomerang, Little Green Light or DonorPerfect (donor CRM)
Givebutter, Zeffy or Classy (online giving)
Zapier or Make
ChatGPT or Claude (API or business plan) for the personal line
Gmail/Outlook or the CRM's built-in email
Expected outcome · Typical goal
Typical goal: every donor is thanked within 24 hours, every $250+ gift gets a compliant written acknowledgment, and larger gifts get a personal touch from a person within a few days.
Setup notes
Trigger on 'new gift recorded' in the CRM, not the payment processor, so checks and cash entered by staff get thanked too.
Use the CRM's acknowledgment fields (e.g. 'acknowledged on') so you can prove every gift got a receipt and nobody gets thanked twice.
IRS rule: for any single gift of $250 or more, the donor needs a written acknowledgment showing the amount (or a description of non-cash property) and whether any goods or services were provided in return, with a good-faith estimate of their value. For quid pro quo gifts over $75 (e.g., a gala ticket), the receipt must state the deductible portion. Build these lines into the template; never let the AI write them freehand.
Route first-time donors, gifts over your threshold (e.g. $500) and memorial/tribute gifts to a person for review before anything sends; memorial gifts especially need human wording.
Donor privacy: send only the fields the AI needs (first name, gift amount/date, designation). Don't paste full donor lists, notes on health or family situations, or payment details into a consumer chatbot; use a business/API plan that doesn't train on your data, and honor any donor request not to be shared or contacted.
Prompt / agent config
Replace the {placeholders} with your own details.
Write the opening 2-3 sentences of a thank-you email from {Org}, a nonprofit in {city} that {mission in one line}. Donor first name: {first_name}. Gift: ${amount} on {date}, designated to {fund}. Donor history: {first gift / gave {n} times since {year}}. Say what this gift helps do in concrete terms using ONLY these program facts: {program_facts}. Warm, plain, specific, under 70 words. No exclamation-point pileups, no invented numbers or stories, no tax language (the receipt block is added separately). If designation is 'In memory of', write a gentle, short version and flag it for human review.

Where I set this up
I build this for businesses across the Charlotte metro and nearby NC/SC towns, remote or in person by appointment:
After the event, attendees, donors, sponsors and pledgers each get the right message within 48 hours. Paddle-raise and pledge commitments get a reminder sequence with a payment link until paid, and receipts show the deductible portion of tickets.
Each month the workflow pulls donors who gave last year (or some year) but not this year, segments them by last gift and interest, and drafts a short personal note for each segment, with a direct ask to renew. Staff approve the drafts, then they send from the CRM or email tool with a follow-up if there's no response.
Before a meeting or cultivation visit, the ED gets a one-page brief on the prospect: giving history with your org, public philanthropic activity, board roles and business background, with links to every source. AI does the reading and summarizing; a person verifies anything that drives an ask amount.
Non-profits · medium complexity
One practical AI use case a month, for Charlotte-area businesses.
