Gala and 5K follow-up with pledge collection

What it does

After the event, attendees, donors, sponsors and pledgers each get the right message within 48 hours. Paddle-raise and pledge commitments get a reminder sequence with a payment link until paid, and receipts show the deductible portion of tickets.

Tools used

  • Givebutter, Classy or Zeffy (event ticketing, peer-to-peer 5K pages, pledge links)
  • Bloomerang, Little Green Light or DonorPerfect (pledges)
  • Zapier or Make
  • Mailchimp or the CRM's email
  • ChatGPT or Claude

Expected outcome · Typical goal

Typical goal: event revenue that was pledged in the room is actually collected, and every attendee, sponsor and fundraiser is thanked within two days of the event.

Setup notes

  1. Import the attendee, auction and paddle-raise lists into the CRM the morning after; pledges need a record before reminders can run.
  2. Pledge sequence: thank-you with payment link (day 1), reminder (day 7), personal call task for anything still open at day 21. Stop as soon as it's paid.
  3. Peer-to-peer 5K fundraisers get their own thank-you with their total raised; their donors are new contacts, so tag the source.
  4. IRS rule: for any single gift of $250 or more, the donor needs a written acknowledgment showing the amount (or a description of non-cash property) and whether any goods or services were provided in return, with a good-faith estimate of their value. For quid pro quo gifts over $75 (e.g., a gala ticket), the receipt must state the deductible portion. Build these lines into the template; never let the AI write them freehand.
  5. Sponsors' thank-yous should restate what they received (logo, tables) so the acknowledgment matches the agreement.
  6. Charitable solicitation: North Carolina generally requires a license from the NC Secretary of State Charities Division before soliciting (with an exemption for organizations under $50,000 in annual contributions that pay no officers or fundraisers, which still requires an exemption letter). South Carolina requires annual registration with the SC Secretary of State unless exempt. Confirm status before an AI-assisted appeal goes to donors in either state.

Prompt / agent config

Replace the {placeholders} with your own details.

Write post-event messages for {Org}'s {event_name} on {date} in {venue_city}. Facts: {total_raised_if_announced}, {highlights}. Create: (1) attendee thank-you (100 words), (2) pledge thank-you with payment link {link} and amount merge field {pledge_amount}, (3) day-7 pledge reminder (60 words, friendly, no pressure), (4) peer-to-peer fundraiser thank-you using {raised_amount}, (5) sponsor thank-you that restates benefits {benefits}. Use only the facts given. Do not write tax language; the receipt block with deductible amount is added separately.

Donor thank-yous and IRS-ready acknowledgments within 24 hours

Every online or offline gift triggers a personalized thank-you email within a day, with the required receipt language built in. Gifts above a threshold you set also create a task for a board member or the ED to call or handwrite a note. AI drafts the personal line; the receipt wording comes from a fixed template.

Fundraising & Donor StewardshipLead Follow-Up

Lapsed-donor re-engagement for LYBUNT and SYBUNT donors

Each month the workflow pulls donors who gave last year (or some year) but not this year, segments them by last gift and interest, and drafts a short personal note for each segment, with a direct ask to renew. Staff approve the drafts, then they send from the CRM or email tool with a follow-up if there's no response.

Fundraising & Donor StewardshipIntake & Triage

Major-donor prospect briefs from public information

Before a meeting or cultivation visit, the ED gets a one-page brief on the prospect: giving history with your org, public philanthropic activity, board roles and business background, with links to every source. AI does the reading and summarizing; a person verifies anything that drives an ask amount.
