Under-contract milestone updates for real estate agents

What it does

Between contract and closing, buyers and sellers want to know what's happening, and agents spend hours answering the same questions. An AI assistant watches the transaction's key dates, such as the due diligence deadline, appraisal, loan approval and closing, and sends clients short plain-English updates and reminders of what they need to do next. It drafts updates to the lender and closing attorney for the agent to approve, and flags any date that is at risk.

Tools used

  • Dotloop, SkySlope or Open To Close (transaction files and key dates)
  • Follow Up Boss, Lofty or BoldTrail (client CRM and texting)
  • OpenAI API or Claude (client updates and draft emails)
  • Zapier or Make (moving key dates into reminders)
  • Google Calendar or Outlook (deadline reminders for the agent)

Expected outcome · Typical goal

Typical goal: clients always know what's next without calling, fewer missed deadlines, and more referrals and reviews after closing because the process felt smooth.

Setup notes

  1. The agent or transaction coordinator enters the contract dates once; the assistant only works from those dates and never figures out a deadline by itself.
  2. In North Carolina the due diligence period is the big one, so give buyers clear reminders well before it ends (inspections, repair requests, appraisal). For South Carolina deals like Fort Mill or Rock Hill, use the dates in your SC contract instead.
  3. Keep client messages factual and logistical. Questions about whether to renegotiate, walk away, or how to read a report go to the agent; legal questions go to the closing attorney.
  4. Wire fraud is a real risk at closing. Every message should say that your team will never send wiring instructions by email or text, and that clients should call the closing attorney at a known number to confirm.
  5. Start with drafts the agent approves for lender and attorney emails, and only turn on automatic sending for simple client reminders once the wording is trusted.
  6. After closing, hand off to your review request and past-client follow-up so the relationship continues.

Prompt / agent config

Replace the {placeholders} with your own details.

You keep buyers and sellers of {Agent} at {Brokerage} updated between contract and closing for {address}. Use only the dates and status in the transaction file: {key dates}. Each update is short and plain: what just happened, what's next, and anything the client needs to do by when. Send reminders {days} before each client deadline. Always include: 'We will never send wiring instructions by email or text. Before sending any money, call the closing attorney at a number you already know.' Never give advice on negotiating, repairs, inspection findings, loan terms, or legal questions; say {Agent} will call and create a task. If a date looks at risk (for example no appraisal ordered or loan approval missing near closing), alert {Agent} right away. Draft emails to the lender and closing attorney for {Agent} to approve; never send them yourself. Log every message in the CRM.
